The Guide system comprises of documentation servers, gateway servers, monitoring and control workstations, configuration tools and rugged mobile devices. Guide is typically integrated with Maintenance, ERP and User Management systems as well as diverse documentation sources.

At the heart of the Guide system is a main content repository server (Guide Documentation Server), usually installed at the headquarters or IT center; a distributed array of gateway servers (Guide GroundControl) deployed at the squadron, airport hangar or local site service office. Rugged mobile devices or portable tablet PCs (Guide Mobile) are used in the point of service and communicate with GroundControl servers.

New and updated technical documentation is fed to the Guide System through the DocumentationServer. Guide supports various documentation sources, while many more can be adapted though an initial integration process.

The system can be configured to automatically propagate technical documentation from the DocumentationServer and down to all system components.

GroundControl servers located at central service sites relay documentation updates, task assignments (from ERP), collect and archive task activity and performance data, update ERP with performance data and task progress and host the local Guide Portal for managers and supervisors.

The following illustration displays a typical deployment of a Guide system in an organization, working side by side with exiting IETM, paper documentation and ERP/Maintenance management systems.

GroundControl Servers retrieve updated content from the Guide DocumentationServer, and keep technical documentation on mobile devices up to date at all times. Guide Mobile devices update the GroundControl Servers with live activity data (based on communication availability), thereby enabling supervisors to view maintenance progress in real time via the Guide system's monitoring portal (Guide Portal).
